Contracts and Legal Team Support Officer


We are looking for an experienced, highly motivated Admin Support Officer for our Contracts and Legal Team.

As the Support Officer you will be supporting our team across Australia and New Zealand, you must have experience/knowledge working with contracts, be highly organised with excellent time management skills.

Experience working with SharePoint would be highly regarded.

Duties will include, but not be limited to:
  • Management of Contract Workload Spreadsheet including:
    • Adding new requests
    • Follow up countersigned contracts
    • Updating existing request as information is amended (including due dates)
  • Tasks allocation from the shared Contracts and Legal (C&L) email inbox.  This needs to take into account:
    • searching the C&L Workload Spreadsheet (and archived sheets) to determine who may be best placed to resolve the matter / request
    • creating and maintaining the file / folder structure
    • responding to insurance requests for CoCs
  • Creation of Rights and Obligation tables for each completed MSA (using a Template)
  • Follow up with Bid Managers and Sales Execs on workload pipeline for tenders etc
  • Templates for Pro-forma SOW’s once MSA’s are executed
  • Adobe PDF document conversion as needed
  • Coordination of executable documents from EPD Authorised representatives as needed
  • Assistance in insurance policy renewal preparation
  • C&L Document Management and Publishing in SharePoint
  • Coordination of Accounts Payable and Accounts Receivable tasks and queries
  • Tracking of contract renewal and expiry date for key contracts
  • Identification and implementation of continuous improvement initiatives
  • Prepare annual rate increase letters for customers
  • Liaise with key Empired stakeholders as necessary
  • General Legal Secretary tasks
  • Other tasks as required or directed by Empired’s CFO or Empired’s Legal Counsel
Mandatory Skills
  • High proficiency with MS Office including Excel, Word and Outlook
  • High proficiency with the English language
  • Familiarity with MS Teams
  • Knowledge with Adobe Pro (including Adobe Sign)
  • Experience in reading Commercial documents including Contracts
  • Strong communication skills, written and verbal
  • Excellent attention to detail
  • Outstanding time management and organisational skills
  • Extensive Administration and electronic filing skills
Preferred Skills
  • High proficiency in MS SharePoint
  • Proficient in other MS Office applications
  • MS CRM exposure and experience
  • Information Technology and Systems background and skillset
