The value of Microsoft Content Services
Microsoft Content Services are part of the Microsoft 365 platform and are built upon familiar technologies such as SharePoint, OneDrive and Microsoft Teams. Document management has been a mainstay of the platform for many years and Content Services enhances this to provide enhanced compliance, security, and discovery of information. Using advanced automated intelligence capabilities, including machine learning and machine teaching, content can be automatically classified, secured, and surfaced to users as they need it.
SharePoint Syntex and Viva Topics are the first of two new products to be released to the market. Together, these technologies help organisations identify and surface information and knowledge that may otherwise be buried in silos. They reduce the manual burden on users and prevent errors and misfiling. Having received focused training and enablement support from Microsoft, customers can be assured that Intergen is an expert in providing a practical approach to unlocking value through these technologies.
SharePoint Syntex is a machine teaching technology that lets information and records management staff develop models to consistently and automatically classify content in SharePoint. Once published, models automatically apply retention and sensitivity labels without the need for manual effort by users. Models can also extract metadata, such as customer names, invoice values and patient numbers from unstructured data to help organisations comply with information privacy and governance requirements. This metadata can also be used as part of business process automation.
Intergen can help organisations to get the most from this technology. This includes:
- Automatically capturing metadata from templated forms.
- Building document understanding models to capture metadata from unstructured content and align this to retention and security requirements.
- Automating the process of classifying different types of documents.
- Providing training and support for information and records management staff.
Microsoft Viva is a new collection of capabilities designed to greatly enhance the user experience in Microsoft 365. Viva brings together communications, knowledge, learning, resources, and insights that integrate seamlessly across the Microsoft 365 suite of applications. Viva Topics, the first of four applications announced within Microsoft Viva, uses automated intelligence to understand the information and connections across the organisation. It automatically organises content and expertise into topics such as projects, products, customers, or processes.
Topics can be curated by knowledge staff and aggregated into Topic Centres. Whenever the topic name is used, be that in a Teams chat or channel message as well as in Office applications such as Word and Excel, a topic card will be surfaced. This shows a brief synopsis of the topic as well as related documents, videos, and expertise. This has the potential to supercharge the employee experience, providing rapid insights, removing silos, and reducing time spent trying to find information.
Intergen can help organisations get the most out of Viva Topics by:
- Defining and organising an initial set of Topics to seed the process and train the artificial intelligence (AI) algorithm.
- Identifying appropriate Topic Centres to aggregate and augment AI-derived Topics.
- Defining processes and policies to govern the use of Topics and ensure appropriate lifecycle management.
- Introducing additional information into Topic Cards to derive additional value and meet customer-specific requirements.
- Supporting and enabling information and knowledge management staff to curate Topics and enhance the AI algorithm through careful human oversight.
